Reach out to your contact person within GoodUp to activate the automatic anonymisation or deletion of user data. Once data is anonymised or deleted, this cannot be undone. Therefore, we want to make sure this will be set-up as intended.

What is it?
Here at GoodUp we respect the privacy of our users. Under law and company policies, privacy-sensitive data may not be retained indefinitely. Therefore, we now offer the possibility to set for how long you want to keep the data. All user activity that has taken place before that will automatically be anonymised or deleted.

How to it set-up
To set this up, we need to know the number of months after which you want the user data to be anonymised and/or deleted.  

Example: if you enter ‘3’ for ‘anonymise’, then all contributions and wall posts that have been created more than 3 months ago will be anonymised.

Anonymise user activity
The user ID will be removed from all contributions and wall posts that have been created before the set months. As a result, it will no longer be possible to trace a contribution or wall post back to its creator. 

Example: if you set the number of months for anonymisation to 3, then:

  • On an activity, participants who have signed up more than 3 months ago will be listed as anonymous.
  • A wall post from more than 3 months ago will still be visible, but the poster will be anonymous.
  • On your ‘My contributions’ page, your contributions from more than 3 months ago will not be listed.

Delete user activity
All contributions and wall posts that have been created before the set months will be deleted. 

Example: if you set the number of months for deletion to 6, then:

  • On an activity, participants who have signed up more than 6 months ago will not be listed. However, we do show the total number of participants, including those that have been deleted.
  • A wall post from more than 6 months ago will be removed.
  • On your ‘My contributions’ page, your contributions from more than 6 months ago will not be listed.


Reporting
For reporting purposes, we will keep a log entry of a contribution including the date of the contribution, the number of hours involved, amount donated, or the collected number of items. So you will still be able to count the total number of contributions, hours spent, amount donated over a period of time.

But the contribution can’t be traced back to a user, office, activity, or anything else.
